Consulting & Compliance
Managing payroll can be a stressful experience, and if you lack the right support, it can rapidly become an overwhelming responsibility.
In addition to payroll outsourcing, we offer consulting and compliance services that will help you stay on top of the ever-changing payroll landscape and increase the efficiency of your payroll function. Here are some examples of the work that we can carry out:
Payroll setup and administration
If you don’t want to outsource the payroll, that’s ok. We understand this is not for everyone. We can help you set up your chosen payroll system and design processes for collecting, recording, and processing employee data and payroll payments.
Payroll and Pension health check
Our payroll and pension health check is designed to identify any potential issues or areas for improvement in an organization’s payroll and pension processes, while also ensuring compliance with all relevant laws and regulations. Areas that will be covered are:
Payroll setup. This includes reviewing the accuracy and completeness of payroll records, ensuring that payroll systems are properly configured, and verifying that employees’ pay is calculated and processed accurately.
Compliance with payroll regulations. This involves reviewing compliance with laws and regulations such as the minimum wage, holiday pay entitlements, and statutory sick pay.
Pension compliance. This includes reviewing compliance with auto-enrolment regulations, ensuring that pension contributions are being calculated and paid correctly, and checking that pension schemes are properly administered.
Tax compliance. This involves reviewing compliance with income tax and National Insurance regulations, ensuring that the correct amount of tax and NI is being deducted and paid, and checking that all necessary tax forms and returns are filed on time.
Reporting and analysis. This includes reviewing payroll reports and data to identify trends, anomalies, or areas for improvement in the payroll process.
Migrations
Whether you’re changing providers or have other reasons for the switch, migrating your payroll data is a challenging and sizable undertaking. Our migration planning tool will ensure all steps of the process are covered and efficiently managed. This will include:
Pre-migration planning. This involves identifying the payroll data that needs to be migrated and determining the scope of the project. It may also include selecting a new payroll system and defining the migration timeline.
Data extraction and cleansing. This involves extracting the payroll data from the legacy system and reviewing it for accuracy and completeness. Any errors or missing data should be corrected at this stage.
Data mapping. This involves mapping the fields and codes used in the legacy system to those used in the new system. This ensures that the data is properly interpreted and transferred to the new system. This is the most time-consuming process, and it is very important to get this right.
Data conversion and loading. This involves converting the legacy data into a format that can be loaded into the new system. The data is then loaded into the new system, usually in a test environment to ensure that everything is working correctly.
Testing and validation. This involves testing the migrated data to ensure that it has been accurately transferred to the new system. Any discrepancies or errors should be identified and corrected at this stage.
Parallel run and go-live. This involves running the new system in parallel with the legacy system to ensure that everything is functioning correctly. Once the new system is deemed to be working correctly, it can be switched live, and the legacy system can be retired.
Post-migration support. This involves providing support to users of the new system and addressing any issues that may arise after the migration.
